We are looking for people who have taken our program and have a deep love for what we do. This is a close team that works together to provide a life-changing program. Because we are deeply committed to the work we do in the world, we want to bring in people who are doing the work out in the world, so you can share the joy of it with prospective students. That means that these are both part-time positions (roughly 24 hours a week), as we want to support you in having your own practice. Both positions need people who communicate well and understand the value of what we do.

 
Admissions Advisor / Student Services Manager

Job Designation: Employee

Reports To: Operations Manager

Responsibilities

 

Customer Service

  • Answer phone and email communication with students

  • Greet visitors with friendly welcome

  • Assist other administrators and instructors when needed

 

Admissions management

  • Assist with the development of an annual admissions plan

  • Interview and enroll students in classes (in person and online)

  • Add new students into ASAP. Keep contact information up to date.

  • Obtain all necessary documentation for new students

  • Post and monitor Student Add and Drop class requests

 

Student Services

  • Provide counseling and support to students for all school programs and classes

  • Provide admin support for classes beginning on a weekend where needed (Culver and Temescal Canyon)

  • Assist with keeping all student records and files up to date

  • Serve as a student advocate and a liaison between students and administration

 

Attendance

  • Monitor and follow up with students to ensure they make-up any missed class time by 9 months after class end date.

  • Assist with keeping all student records and files up to date

  • Prepare administrative reports at the direction of the Owners

 

Open House Events

  • Attend monthly event, greet and speak with prospective students

  • Enter leads/inquiries into ASAP

  • Provide prospect info to Marketing Manager

  • Provide support at Open House and Polarity/Cranial Info evenings to encourage enrollment. Contact prospects by email/phone immediately after event.

 

Compliance

  • Provide completed Backup Data document for BPPE Annual Report

  • Assist with BPPE and CAMTC compliance items as needed

  • File and support the file room and the flow of documents

 

Miscellaneous

  • Keep confidentiality of students and school

  • Submit invoices for payment by invoice due-date.

  • Assist Office Manager in maintaining the presentation of school. Keep student library, bathroom, class-rooms and lobby clean and clear of belongings and trash.

  • Attend relevant meetings as scheduled

  • Open and/or close office when needed

  • Other tasks as needed.

Qualifications

  • Most importantly, must have attended one of our two programs and completed it.

  • Ideally have a practice of your own.

  • At least two years experience in office or administration work

  • Bachelor’s degree in business, marketing, administration or equivalent experience preferred

We are looking for someone with a grounded, patient energy and a you-can-do-this attitude. You will be the person who connects with prospective students, enrolls them in programs and supports them as they start and move through their education. You will help them navigate both the program and sometimes process the challenges that connecting with your deeper self brings as they move through this program. You will have lots of support! You will work closely with the front desk team to help prospective students become active students and also partner closely with the Scheduler, as we are always working to create a sensible flow to classes so the students are supported in moving through the program. You will report directly to Sabrina Ortolano, the Operations Manager.

 
Scheduling & Compliance Manager

Responsibilities

 

Customer Service

Scheduling

  • Assist with creating the annual school calendar of classes with the Operations Manager (and Office Manager assistance where needed)

  • Keep Master Schedule and Google Calendar up-to-date with all classes and workshops

  • Communicate effectively with all instructors regarding class scheduling

  • Manage ASAP Connected online class management software

    • Input new classes

    • Edit classes

    • Set up instructors to receive notifications

    • Update class descriptions, instructors and key info

    • Maintain entries to ensure accuracy

  • Provide regular photo of whiteboard schedule of class enrollment numbers to Operations Manager weekly

 

Compliance

  • Maintain compliance with the BPPE

    • Complete, confirm and mail BPPE quarterly STRF reports, by coordinating with Student Services Manager and ensuring the BPPE Back-Up data form is up-to-date. Confirm with Operations Manager prior to mailing.

  • Maintain compliance with CAMTC

    • Ensure all classes are officially closed out, with all required signed documents included

    • Follow up with students who are missing hours to complete classes (students have within 9 months of class end date)

  • File required documents/fees for Continuing Education associations (California Acupuncture Board, California Board of Registered Nurses)

  • Support the file room and the flow of documents

 

Teamwork

  • Maintain effective working relationships with the Student Services Manager, Facilities/Office Manager, Marketing Manager and Student Services Specialists

  • Assist teammates when needed

We are looking for someone who is a team player, methodical, patient, and can map out and juggle scheduling many classes in an often-fluctuating environment. You will work closely with the Admissions Counselor and Operations manager. Sabrina, the Operations Manager will work with you to coordinate teacher needs and ensure the schedule is dynamic and supports the students needs. In addition, you will oversee submitting quarterly statistics to the various agencies we work with for our accreditations. You will report directly to Sabrina Ortolano, the Operations Manager.
